POSITION SUMMARY

The Event Marketing Manager develops and manages conference and event timelines, budgets, communications, and is responsible for managing end-to-end logistics. This position works collaboratively with Sales, Customer Success, and senior leadership to ensure optimization, engagement of SMEs, and execution of events with broadest reach and resulting success factors.

KEY RESPONSIBILITIES

  • Develop and manage conference and event timelines.
  • Manage event budgets, invoices, ROI tracking, schedules of payments and cost savings report.
  • Manage end-to-end logistics for assigned proprietary and third-party events, including budget, contract terms, registration process, food and beverage, venue research, registration support, entertainment, conference booth production, transportation, among others.
  • Support in the concept and creation of all signage, lighting, event flow, SOWs, ROs for partner, staging, hospitality, activations, premiums, registration, agenda management and sponsorship support.
  • Build and deliver exceptional brand experiences that are on brand.
    Research venues, vendors, and producers for events.
  • Preparation and distribution of detailed pre-event communications and post event reporting research and track all competitive events.
  • Collaborate cross-functionally with appropriate teams to ensure optimization, appropriate subject matter experts are engaged, and that program launches are maximized for the broadest reach and resulting success factors.
  • Project management, including management of multiple projects with varying due dates simultaneously, identify dependencies, and coordinate across other channels, in accordance with established milestones, and collaborate with internal stakeholder teams and external vendors.
  • Liaise on digital presence, social promotion, and public relations to support events
  • Provide follow up reporting related to ROI around the event
  • Lead and participate in client and internal meetings, including regular status meetings, pre-program walkthroughs, onsite meetings, and post program debriefs.
  • Demonstrate the values of Outsell in everyday interactions.
  • Other duties as assigned.

PROFESSIONAL QUALIFICATIONS

Education and Experience:

  • Bachelor’s degree in Marketing or related field; and
  • 3+ years of experience in event planning and/or execution, including managing event operations, registration, ticketing and guest management, sponsorships and/or event agenda management and programming.
  • A combination of education and work experience necessary to perform essential functions.
  • Experience working in automotive industry

WORK ENVIRONMENT

Duties are performed in a regular office environment. Physical requirements include:

  • Sitting or standing at a desk for extended periods of time and performing long hours of work in office and at event locations.
  • Walking, bending, reaching while onsite at event locations
  • Perform in a fast paced, entrepreneurial, results-oriented, and collaborative work culture.
  • Hear and speak effectively to communicate in person and over the phone with customers, employees, and others, including at senior level professional levels outside the organization.
  • Visual acuity to read computer screens and printed documents.
  • Manual dexterity to type on a keyboard and use a computer mouse. Perform manual tasks such as handwriting, using hands to search through files, reaching for supplies, and repetitive motions such as typing and sorting.
  • Occasionally may lift objects, boxes of files and office equipment weighing up to 25 pounds.
  • Ability to work irregular hours occasionally outside of normal business hours when needed.
  • Up to 30% travel by car and/or plane. Varies and would focus around event schedules.
